Pool Robot Spare Parts: Plan Before You Launch

Pool robot returns often start with a lost charger or a worn brush. Which spare parts to stock from day one, and why to order them with your first run.

Pool robot returns often start with something small. The owner can't find the charger after the winter, a brush has worn smooth, or a torn filter lets sand straight through and the robot “stopped cleaning”. If the retailer has no part to send, the only fix on offer is a new robot, and the old one goes on the returns pile with a perfectly good motor inside.
We build pool robots in our own factory in Changzhou, and buyers can order spare parts (filters, brushes, tracks and chargers) and batteries separately from the robots. This is the parts plan we'd put in place before launch.

What if the customer loses the charger?

Then they can't use the robot, and to them it's broken. Chargers tend to go missing at the end of the season: the robot goes to the garage, the charger goes in a drawer, and by spring nobody remembers which drawer. A pool robot charger is made for its battery, so a laptop or phone charger with a similar plug won't do. Stock chargers for every model you sell, by plug type for each country. A charger in a padded envelope costs far less to send than a robot in a carton, and the owner is back in the pool within days.

How fast do brushes and tracks wear out?

Faster on rough concrete than on smooth tile, and faster again in a sandy pool. We'd rather not promise a replacement interval, because the pool decides it, but brushes and tracks are wear parts on any robot. In our Y50S life test, the tracks showed real wear by the end, and every unit was still running. Sell brushes and tracks as routine replacements, and show a worn one next to a new one in your manual, so owners change them before the robot starts slipping.

Which filters do owners replace?

Filters tear on sticks and wear thin in sandy pools, and a torn filter turns into a “robot stopped picking up sand” complaint. Our floor robots such as the Y10 and C1 use 180 µm baskets. The Y50 adds a 10 µm fine filter, and the H200 handheld has a 5 µm stage. The finer the layer, the more often owners rinse it, and the sooner they'll want a spare. Keep filters for each model you sell, and check with your supplier which filters fit which models before you list them.

Should we keep spare batteries?

Yes, a small stock per model. Lithium batteries lose capacity as they age. An owner whose robot runs noticeably shorter in its third summer will happily buy a new battery, while the same owner without that option starts shopping for a new robot, possibly from someone else. Keep spare batteries partly charged in a cool, dry room, following the storage instructions that come with them, and sell the oldest first.
Batteries also need their papers. We supply UN38.3 test reports and the MSDS, and your forwarder will want them for spare batteries as well as for the robots. Batteries shipped on their own face stricter air-freight rules than batteries inside a robot, so the easy route is sea freight with your main order.

When should we order spare parts?

With the first production order. Parts ordered with the robots travel in the same shipment, so they don't pay their own freight or wait for their own paperwork. Our lead times run until the goods are ready to ship, with freight on top, so parts ordered in the middle of the season tend to arrive after the owners who needed them have already sent their robots back. After the first season, compare what you stocked with what owners actually asked for, and adjust. Repeat private-label orders take 30–45 days, so parts can ride along with each run.

Make parts easy to identify

Give every part a name and a photo in your manual and on your website, and use the same names in your support script. Owners who can identify the part they need will often order it themselves. Owners who can't will call you, and some of those calls end in a return.

FAQ

Can we order spare parts and batteries separately?
Yes. Filters, brushes, tracks, chargers and batteries can be ordered separately from the robots. We suggest adding them to your production order so they ship together.
Do spare batteries need their own shipping documents?
Yes. Your forwarder will ask for the UN38.3 test report and the MSDS for the exact battery, and air freight adds dangerous-goods paperwork and labels.
